  1. Research different venues near you

    1. Examples include: flea markets, holiday fairs, local libraries, etc

    2. Email your chosen venue and make sure to keep them in the loop about the outreach event you want to plan.

  2. Figure out your activity, budget, and buy your materials

    1. Depending on your venue, the activity that you will be able to host will be different.

    2. Once you choose your activity, make sure to check your team’s budget so you can decide how much money you can spend on the event

    3. After choosing your budget, create a spreadsheet with all the materials you will need.

    4. Finally, buy your materials and make sure to save your receipt!

  3. Advertise!

    1. Now that you planned your outreach event, it is important to advertise to make sure that you get a good turnout.

    2. You can create fliers and different social media posts using websites such as CANVA.

    3. We suggest advertising on different social media sites such as Instagram, Facebook, NextDoor, and WhatsApp.

    4. It is important to find and target your specific audience for the outreach event. For example, if I am planning an arts and crafts activity with LED Lights for elementary school students, I would aim to target their parents, different afterschool programs, and their schools.

    5. You can also hand out flyers at grocery stores, local religious institutions, etc.

  4. Finally, create a document that contains a detailed rundown of what the day of your event should look like.

    1. Make sure to include timings, which team member will be there at what time, and allot extra time for set up and clean up.

    2. Remember not everything will always go according to plan, so be able to adjust to any discrepancies that may occur.

    3. Also, remember to take lots of pictures for future documentation purposes.
